Option 1: Drive in
All Vehicles MUST load-in on Saturday, July 10. Saturday vehicle load-in is from 12:00 p.m. to 2:00 p.m. This option applies to exhibitors who need to drive their vehicle into Central Park in order to unload their booth materials. Vehicles cannot be more than 24 feet in length to navigate the Central Park pathways.
All vehicles entering Central Park must enter from 5th Avenue (east side of the Park) at 72nd Street and must be escorted into the park by race management staff. When you arrive, please call MJ at 917-856-7552 to request an escort. Vehicles must obtain a vehicle permit from race management in advance and permits MUST be displayed on your windshield in order to enter/exit the park. Once load-in is complete, vehicles must immediately leave the park with a race management staff escort. Please note an escort is also needed to load out on Sunday July 11.
Option 2: Transport of items from the Expo
Exhibitor loads out of the Expo using the NYC Tri truck, which will drive materials to Central Park at approximately 9 p.m. Vendors must stay with materials at the Expo until they are loaded onto the truck at the Hilton. Vendor must be indicate that they’d like to utilize the NYC Tri truck on the Expo reservation form and must be pre-approved based on truck space availability. The truck will be unloaded in Central Park at 5am on Sunday, July 11. The NYC Tri is not responsible for lost, damaged or stolen materials.
Option 3: Hand cart equipment into Central Park
This option applies to vendors who are able to hand cart their booth materials into Central Park. Tents must be set up by 8:30 a.m. on race morning.
Load-out will occur at 3:30 p.m. following the conclusion of the Finish Festival. Please break down any boxes and gather any trash. Please note that there are no ship out services available. All materials must be removed from the Finish Festival venue on Sunday, July 11.
Load Out by Vehicle: No vehicles will be allowed into Central Park until 3:30 p.m so please schedule any pick ups accordingly. The vehicle load-out process will occur in order of layout. All vehicles entering Central Park must enter from 5th Avenue (east side of the Park) at 72nd Street and must be escorted into the park by race management staff. When you arrive, please call MJ at 917-856-7552 to request an escort. Please be patient during this time, as you will likely have a wait time.
All vehicles MUST load in on Saturday, July 10th. There will be no vehicles permitted in Central Park at any other time. Please see Load-In Option 1: Drive In (above) for more details.
Life Time Fitness will assign tent spaces to exhibitors based on contract requirements and the products being displayed. Final assignments will be sent to exhibitors prior to the Finish Festival.
TENT SET UP & RESTRICTIONS
Exhibitor’s materials must fit within the tent space and may not obstruct walkways, general view and other exhibitors. No handouts or flyers may be passed out or posted outside of the assigned space. This will be strictly enforced. Any special tent construction must be submitted for prior approval. Subletting of space is strictly prohibited. Exhibitors may not use space for any other reason without prior written approval.
Exhibitors are responsible for transportation of equipment, materials, parking, etc. and for providing any additional necessary items for their space including but not limited to, power and ice, at their own expense.
FOOD & BEVERAGE
Exhibitors are not permitted to sell, serve or distribute any food or drink without prior written permission from race management. NO cooking and NO alcohol is allowed anywhere in Central Park.
PRODUCTS & MATERIALS
Products with the event logo, name, etc. may not be sold, displayed or distributed without prior written approval. Management reserves the right to restrict and remove any product it deems objectionable (includes products, persons, objects, conduct, etc.) for health, safety or other reasons. This may include products in conflict with sponsors.
FIRE, SAFETY & HEALTH REGULATIONS
Exhibitors agree to comply with local, city and state laws, ordinances and regulations. Exhibitors are responsible for all fire precautions.
Security will be provided at all times in Central Park. Overnight security will also be present on Saturday. Life Time, Inc. is not responsible for lost, damaged or stolen property.
We will continue to work with the local, city, state, and public health officials to determine the best practices needed to ensure the safety of all community members. We are discouraging spectators from attending the event. However, Central Park will be opened to the public so there will be people passing through the event. Please keep this in mind.
A few examples of what you might expect to see are below:
- Proof of vaccination and/or COVID-19 test of all participants & staff within 72 hours of the event
- Mask requirement
- Hand sanitation stations
- Temperature checks
- Self-supported on-course hydration
- Prepackaged grab-and-go recovery food, water & medals
